Should You Hire An AI Consultant For Your Small Business?
Thinking of hiring an AI expert or consultant for your small business? What they do, what it looks like week to week, and 6 things to check before you hire.
Short answer: a good AI expert for a small business sits next to you (usually on a video call) and builds AI into the way your business already runs. Your inbox, your invoicing, your client onboarding, your content. You finish with working systems you own, and you know how to change them yourself.
You’ll see them called AI consultants, AI coaches or AI experts. The name matters way less than one thing: do they build it WITH you? It sits somewhere between a course (teaches you, leaves you to it) and a developer (builds something, hands it over).
What it looks like week to week
This is how I run mine, so it’s a real example rather than a theory:
- A deep-dive first. 90 minutes on your business: what you sell, who your clients are, which tools you already pay for, and where the hours go.
- A weekly 1:1 call. Screens shared. Each call ends with something built or fixed, plus clear next steps for the week.
- Support in between. Stuck on Tuesday afternoon? A WhatsApp message, not a week of waiting for the next call.
- Resources as you go. A welcome pack at the start, then walkthroughs and templates for the exact things you’re building.
- A handover. By the end everything is documented and running without me.
What gets built
It depends completely on the business, which is the point. A few real examples from the founders I mentor on UK council-funded AI programmes (details anonymised):
- An e-commerce shop: the inbox triaged every morning, replies drafted, and one summary email that works as the to-do list for the two people running it. We also cancelled a paid tool they didn’t need.
- A community health charity with a team: staff timesheets in a spreadsheet nobody filled in properly. We’re building a simple form the team fills in on their phones, feeding a live dashboard.
- A garden designer: a Claude workspace that knows the whole business, so LinkedIn articles get drafted from her own leaflets and site notes are done by voice.
Across a cohort, that kind of work adds up to 10+ hours a week back for each founder. 12 more jobs businesses are handing over.
Do you need to hire an AI expert?
Probably not if you like tinkering, you’ve got spare evenings and your business is fairly simple. The free guides will get you a long way, and so will my step-by-step on using AI in a small business.
Probably yes if:
- you’re the founder AND the admin department, and you haven’t got a spare month to figure it out
- you’ve tried AI before and it didn’t stick
- you’re about to hire someone mainly to keep up with admin
- you’ve got staff, rotas or payroll, and the admin has multiplied with the team
6 things to check before you hire an AI expert
This is the bit I’d want someone to tell me. (Yes, I’ve written it knowing I’m on the other side of the table.)
- Have they built business systems before AI? AI is the easy part. Knowing how an onboarding process, an invoicing flow or a rota should work is what makes the AI useful. I spent 6+ years building booking systems, onboarding workflows and enquiry management for founders as a certified Online Business Manager before any of this.
- Do you own everything at the end? If it only works while you keep paying them, that’s a subscription.
- Is it built around your business? Ask what they’d do first for you specifically. If the answer sounds like a syllabus, it’s a course with calls.
- How do they handle your data? You should agree, in writing, what goes into AI and what never does. Client data especially (here’s the starting list).
- Can you talk to them between calls? Things break at inconvenient times.
- Will they keep the boring bits and leave the good bits? The goal is to automate the admin, never the work you enjoy.
If you want to see how mine works
I run six weeks of 1:1 AI consultancy for small businesses, fully tailored, starting with a free 30-minute call where I tell you exactly what I’d build first. Here’s everything that’s included, and here’s what AI help costs across the UK so you can compare.
Quick answers
What does an AI consultant do for a small business?
They look at where your hours go, then build AI into your real tools and processes with you: inbox, invoicing, onboarding, content, team admin. A good one leaves you owning and understanding everything.
AI consultant or AI course: which do I need?
A course teaches you and leaves the setting up to you. A consultant builds it into your business with you. If you've got time and like tinkering, start with a course. If you haven't, get help.
How long does it take to set up AI in a small business?
Quick wins can land in the first week or two. A proper setup across inbox, admin and content usually takes 6 to 12 weeks alongside running the business.
